Email attachment issues in University City | Jul 17th 2006

Melanie Draheim called me about 5:30 PM. She had trouble sending PDF attachments she scanned on the digital sender. The email comes back undeliverable and saying it was to large to send. The attachments were 17MB big. I thought maybe the recipient’s mail system rejects large attachments. I also looked at her mailbox. Those emails with the large attachments made her mailbox size over the limit. I cleaned up her mailbox down to around 40MB and sent and email to myself. It went through just fine. Then Melanie commented that they’ve been doing this for months and this is the only time her attachments were rejected. She insisted that she was sending attachments the same size. When I asked her to look for a sample of any files she sent that were huge, she could not find any. That’s when we wondered why the digital sender was outputting large files. I asked them to check the settings of the scanner. Sure enough, the scanner was set to scan in color which increases the file size of the PDF files by 8X. After I walked them through setting the default setting to B&W, their email issues got resolved.
